What information is shown here?

You will find here all portfolios created in this account. A portfolio can be seen as a specific collection of buildings. You can change the view of the portfolios by clicking on ‘View’ on the left. Here you can choose between a list of the portfolios where the name and the owner is displayed or tiles with the image of the portfolio. You can change this at any time.

How can I create a new portfolio?

  • Click ‘Add portfolio’.
  • Enter the name of the portfolio.
  • Choose a suitable image. If you do not have a suitable image available, you can skip this step. You can add an image later. In this case, the system will provide a default image for the portfolio.
  • Click ‘Save’. The portfolio you just made opens directly and you can use this portfolio straight away.

How can I view a portfolio?

Click the name or picture of the portfolio you would like to open. You will now see an overview of the buildings that were added to the portfolio, as well as a list of users who can view and edit the portfolio.

How can I delete a portfolio?

You can only delete a portfolio when it no longer contains any buildings. What if the portfolio still contains buildings? Then, you must first delete all buildings from the portfolio, before you can delete the portfolio itself. See ‘How can I delete a building from a portfolio’ for more information on deleting buildings. Once you have deleted all buildings from the portfolio, you take the following steps:

  • Click the name or picture of the portfolio you would like to open’.
  • Scroll down and click ‘Edit portfolio’.
  • Scroll down again and click ‘Delete portfolio’. Caution: once you have removed a portfolio, you cannot undo the action!

How can I change the name or image of a portfolio?

  • Click the name or picture of the portfolio you would like to open.
  • Scroll down and click ‘Edit portfolio’.
  • Enter a new name and/or select a new image.
  • Click ‘Save’.

How many portfolios can I create?

Every organisational user who is authorized to create a portfolio, can make as many portfolios as they like. There is no limit. An individual user can make a single portfolio, this portfolio is created directly during the registration for the platform.

Who can access a portfolio?

The creator of a portfolio has access to the portfolio. This user is the account administrator. Additionally, this user can grant other users access to their portfolios. See the following section for more information.

How can I add users to a portfolio?

  • Click the name or picture of the portfolio to open it.
  • Go to the tab ‘Users’.
  • Here, you will see an overview of the users who can access the portfolio.
  • Click ‘Add user’.
  • Enter the e-mail address of the user you would like to add. If the person you are adding is already registered by Madaster, they will have immediate access to the portfolio. If the person is not a registered user, they will receive an e-mail explaining how to register.
  • Select the role you would like to assign to the user at ‘permissions’ and click ‘Save’. See the following section for more information on the different user roles.

Which roles can be assigned to users of the Madaster Platform?

Users of the Madaster Platform can be assigned three roles: administrator, manager, and reader. The following table lists the user privileges of each of the roles.

The account administrator, who is also the owner of the account, has all privileges. As an administrator, you control user access. This means you can add and delete users, as well as set user privileges. Additionally, you can create portfolios, add buildings, materials and products to the database, export materials passports, upload files, etcetera. As an administrator, you cannot change your own user privileges.

The account administrator can grant manager privileges. As a manager, you can customize the portfolios and buildings you have been granted access to. Additionally, users can be granted reader access. As a reader, you can view the portfolios and buildings you have been granted access to. A reader can also download materials passports.

How can I change the roles of users who have access to a portfolio?

  • Click the name or picture of the portfolio you would like to open
  • Go to the tab ‘Users’ and click ‘Edit permissions’.
  • Change the role of the user in question.
  • Click ‘Save’.

How many users can I add to my portfolio?

This depends on your Madaster subscription. Users with an individual subscription, cannot add users to their account. For users from organisations, this depends on the subscription type.

How can I delete users?

  • Click the name or picture of the portfolio you would like to open
  • Go to the tab ‘Users’. There, you will see a list of the users who can access the portfolio.
  • Click ‘Edit permissions’.
  • Scroll down again. On the right of each user, there is a wastepaper basket icon. Click it to delete the user.
  • Click ‘Save’. Now, the user can no longer access this portfolio

How can I add a building to a portfolio?

A portfolio can contain numerous buildings.

  • Click the name or picture of the portfolio you would like to open.
  • Click the ‘Add building’ button.
  • Enter the requested data. Required fields are indicated by an asterisk (*).
  • Click ‘Save’. Notice that the new building has been added to the portfolio. It will also be displayed on the home screen.

How many buildings can I add to a single portfolio?

Every user can add as many buildings to a portfolio as they like. There is no limit, as long as you do not exceed the floor space limit of your subscription. See the section on the various subscription types for more information.

How can I delete a building from a portfolio?

  • Click the name or picture of the portfolio you would like to open
  • Click the name of the building you would like to delete. The building details page is opened.
  • Scroll down and click ‘Edit building’.
  • Scroll down again, and click ‘Delete building’. Now, a warning appears to make you aware of the fact that, with this action, you will also delete all files and data relating to this building from the Madaster Platform. Click ‘Save’ if you are sure about this. The building is now removed. Caution: you cannot undo this action.

How can I return to the home page with the portfolio overview?

You can always return to the home page by clicking the Madaster logo in the upper left corner of the page you are on. You can also return to the portfolio overview by clicking ‘Portfolios’ on the menu bar. You can use the breadcrumb-navigation at the top of the page as well. Click on ‘portfolio’ or ‘home’ to open one of these pages.

How can I transfer my portfolio to another user (e.g. the new owner of the building)?

At the moment, you cannot transfer a portfolio or building on the Madaster Platform. What you can do, is add the new owner as a user, after which you can grant the user ‘administrator’ privileges. Now, this user is also the new owner of the portfolio/building.
