Users

Depending on the subscription every account has a certain number of active (Administrator, Manage & Contribute to database, Manager) users. To view the number of active users available, go to the Subscriptions Tab on account level (only visible for active users). On the plattform it is possible to add users, with certain permissions at account-, folder- and object-level. Users can be assigned a “legal role”, meaning they have the legal responsibility to accept license terms of restricted producer databases. These are listed under the three dots in the menu, and in the page Licensed databases. For more information on this, see the Databases on Madaster.

Add users at account-level

Users invited at account-level will be given access to all existing and future folders, projects and objects within the account. Account-level users can be assigned one of the following permissions:

Add users at object-level

* The user needs at least the Transfer Objects role in the target account or target folder where the object should be transferred to.

Setting up Multi-Factor Authentication (MFA)

To increase account security, multi-factor authentication (MFA) has been mandatory for all users in all countries since April 2025 – including read-only accounts. Detailed information can be found in the FAQs on our websites.

In addition to your password, you will need to log in with a time-based code from an authentication app (e.g. Microsoft Authenticator, Google Authenticator).

Setup (when logging in for the first time after activation)

  1. Install the Authenticator app.
  2. Select ‘+’ in the app and add ‘Business or school account’.
  3. Log in to Madaster, scan the QR code displayed with the Authenticator app.
  4. Enter and confirm the 6-digit code from the app. The codes are renewed every 30 seconds. If you enter the code incorrectly, use the current code.

Lost your mobile phone or device?

  • Microsoft Company account: Have MFA reset by your internal IT department.
  • Personal account: Contact our support team for identity verification and to reset the MFA.

Note on shared access: Platform access is personal and shared use is not permitted. If access has been shared up to now, additional users must be created in the account and given the appropriate rights.
